Position: Project Billing Specialist

Howard Shockey and Sons is seeking a Project Billing Specialist to prepare monthly owner billings and process payments to subcontractors. This role is essential to ensuring accurate and timely billing and payment processes for our projects.

Key Responsibilities

  • Review all required documentation from subcontractors monthly.
  • Process payments to subcontractors.
  • Track lower-tier vendors and Joint Check Agreements.
  • Draft owner billing documents using subcontractor billings, cost reports, and field input for Project Manager review.
  • Compile all required documentation for owner billings per contract requirements.
  • Manage and coordinate multiple tasks efficiently.
  • Communicate effectively with project teams and subcontractors to ensure timely processing of documents and payments.
  • Maintain the highest level of integrity and ethical practices in all business dealings.
  • Foster win-win relationships through firm, fair, friendly, and factual interactions.
  • Perform other duties as assigned.

Qualifications

  • Associate degree (A.A.) or equivalent from a two-year college or technical school, plus five years of related experience and/or training; or an equivalent combination of education and experience.
  • Ability to read, analyze, and interpret business periodicals, professional journals, technical procedures, or governmental regulations.
  • Strong written and verbal communication skills; able to write reports, business correspondence, and procedure manuals.
  • Proficient in presenting information and responding to questions from managers, clients, and customers.
  • Mathematical skills to calculate figures such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume; ability to apply basic algebra and geometry concepts.
  • Reasoning ability to carry out detailed written or oral instructions and solve problems involving concrete variables in standardized situations.
  • Computer proficiency in accounting, database, internet, spreadsheet, and word processing software.

Physical Demands & Work Environment

  • Frequent sitting and manual tasks (typing, handling objects).
  • Occasional walking, climbing, bending, and kneeling.
  • Must be able to lift up to 25 lbs.
  • Visual acuity required for detailed work and spatial awareness.
  • The work environment is usually quiet.
